Proforma Invoice, Commercial Invoice and CNIC: Export Documents Made Simple

Proforma Invoice, Commercial Invoice and CNIC: Export Documents Made Simple

Correct paperwork is the single biggest factor in fast customs clearance. Missing or unclear documents are the most common reason shipments are held. Here is what each document does and when you need it.

CNIC copy and consent

For shipments leaving Pakistan, carriers and customs require the shipper's identity. A copy of the sender's CNIC is normally attached to non-document shipments, together with a short consent letter authorising the courier to use it for export clearance. Businesses may use their NTN in addition.

Proforma invoice

A proforma invoice declares the contents and value of a shipment that is not a commercial sale, for example gifts, personal effects or free samples. It must include:

  • Shipper and receiver names and addresses
  • A specific description of each item (for example "men's cotton shirts", not "clothes")
  • Quantity, unit value and total value with currency
  • Country of origin and reason for export
  • Signature of the shipper

Commercial invoice

A commercial invoice is used when goods are sold to the receiver. It contains the same details plus the terms of sale and, ideally, the HS code of each product. Customs at the destination uses it to calculate duty, so the values must match the real transaction.

Gift declaration

When you send presents to family, a gift declaration confirms that the items are unsolicited personal gifts, not for resale. Some countries apply lower duty or an exemption to genuine gifts below a certain value. The rules differ, so declare honestly.

Packing list and other documents

Larger shipments may also need a packing list, certificate of origin or product-specific certificates. Your forwarder will tell you which apply to your goods and destination.

Common mistakes to avoid

  • Writing vague descriptions like "gift", "sample" or "personal items" alone
  • Undervaluing goods, which can lead to fines or seizure
  • Different values on the invoice and the booking
  • Missing receiver phone number for customs contact

With VML, the challan, proforma invoice, commercial invoice, CNIC consent letter and gift declaration are generated from a single booking, so the details always match. Contact us if you are unsure what your shipment needs.
